Free proposal software with no signup: what you actually need (and what you don't)

If you send two or three proposals a month, a $20-to-$50 per user per month proposal platform is a strange purchase: you are paying for a sales pipeline when what you need is a good-looking document with correct maths. This guide lists what a freelancer genuinely needs from proposal software, what the big per-seat platforms are really charging for, and how to get the first list for free without creating an account.

What the big platforms cost, and why

The big proposal platforms are priced per user, per month, because they are built for sales teams. At the time of writing, PandaDoc's paid plans start at roughly $19 per user per month on annual billing, and its free plan is limited to a set number of documents per year (PandaDoc pricing). Better Proposals' entry plan is listed around $19 per user per month with a monthly cap on the number of proposals you can send (Better Proposals pricing on Capterra). Check the vendors' pages for current numbers.

What that money buys is mostly the things a team needs: shared template libraries, approval workflows, CRM integrations, open-and-view tracking, content analytics and e-signature with audit trails. Those are real features. They are also mostly irrelevant if you are one person sending a handful of proposals to clients you already spoke to on the phone.

What you actually need

1. A layout that looks deliberate

Clients judge a proposal in the first few seconds, before they read a word. Consistent headings, sensible spacing, a totals table that lines up, your name and contact details in the right place. You do not need a designer; you need a template that was designed once, properly, and that you cannot accidentally break in a word processor.

2. The right sections, and the ability to hide them

Overview, scope, timeline, pricing, terms, acceptance. That is the whole structure (we walk through each in how to write a freelance proposal). Just as important is the ability to switch sections off, because a quote for a repeat client does not need an overview or timeline, and an empty section looks worse than no section.

3. Line-item maths that is never wrong

Quantity times unit price, subtotal, discount, tax, total. It sounds trivial until you send a proposal where the total does not match the lines because you edited one cell in a spreadsheet and not the other. Fixed-price mode for packages, itemised mode for multi-part work.

4. PDF export

PDF is still how proposals travel. It looks the same on every device, it can be forwarded to a business partner, and it can be printed and signed. Whatever tool you use, the PDF it produces is the actual product.

5. Saving and reusing

Your third proposal for a logo-and-brand package should take five minutes, not forty. Save the last one, duplicate it, change the client details and the specifics.

6. Your data staying yours

A proposal contains your client's name, your pricing, and often details of their business. A tool that ties everything to a mandatory account, with no way to just save it in your own browser, is one more account to close if you stop using the tool. For a solo freelancer, a tool that keeps everything local by default is simpler, not just more private.

That list is exactly what PitchLeaf is. Six sections with toggles, itemised or fixed pricing with tax and discount, PDF export, up to 3 saved proposals free, saved in your browser with encrypted backup and sync when you want them. No account needed, no trial that expires.

What you probably don't need

Open and view tracking

Knowing that a client opened your proposal at 9:14pm is interesting and changes nothing. If you have not heard back in three business days, send a short follow-up. That works whether or not you have analytics, and it does not require your document to phone home.

E-signature with audit trails

For large contracts and regulated work, a proper e-signature service is worth paying for, and you should use one alongside your proposal. For a typical freelance job, most clients accept by replying "approved" to your email, or by signing and dating the last page of the PDF and sending it back. A signature block on a PDF gives you a plain written record that the scope and price were agreed; it is not a certified e-signature and it does not replace a contract where you need one.

CRM and pipeline stages

If you can count your open proposals on one hand, a spreadsheet or a notes file is a better CRM than a CRM. Proposal software that insists on pipeline stages is adding admin, not removing it.

Team seats

You are the team.

Why "no signup" matters more than it sounds

A proposal generator with no signup is not just about saving thirty seconds on a form. It means:

The honest trade-offs of a browser-first tool

A tool that saves in your browser by default gives up a few things, and you should know them before you rely on it:

For a solo freelancer sending low volume, those are trade-offs worth making. For a five-person agency with a sales process, they probably are not, and the subscription tools earn their price.

How PitchLeaf's free and Pro tiers work

The free tier is not a trial. Unlimited proposals, 3 saved in this browser (10 with a free account), the Classic layout, PDF export, and a small "Made with PitchLeaf" line in the footer, for free, forever, with no account required. If you want unlimited saved proposals, your own logo, a custom accent colour and two more layouts, Pro is $9/month or $75/year with the first 7 days free. A fraction of what the per-seat platforms above charge, and you can cancel any time. Saved in your browser, with encrypted backup and sync when you want them either way.
